Your information should be handled clearly and respectfully.
This notice explains what information PropertySync3 uses, why it is needed, who it may be shared with and the choices available to you.
Last updated: 9 October 2026Who is responsible for the information?
PropertySync3 operates PropertySync3. We are responsible for account, security and support information used to provide the service.
A landlord or property manager normally controls the property, tenant, contractor and repair information they enter. PropertySync3 processes that information on their behalf so the repair can be coordinated.
Privacy questions and data requests can be sent to support@propertysync3.co.uk.
Information we use
- Account details such as name, email address, organisation and selected plan.
- Property and contact details entered by a landlord or property manager.
- Repair reports, messages, appointment information, completion notes and uploaded evidence.
- Security and service records such as sign-ins, audit events, delivery status and technical errors.
- Support messages and feedback sent to us.
Why we use it
- To create and protect accounts and provide the service requested.
- To keep a repair record moving between the landlord, tenant and contractor.
- To send verification, access, appointment and repair-related messages.
- To prevent misuse, investigate faults and maintain an appropriate audit trail.
- To meet legal obligations and respond to valid rights requests.
Depending on the information and relationship, the legal basis may be performance of a contract, legitimate interests in providing and securing the service, compliance with a legal obligation, or consent where it is specifically requested.
Who receives information?
Repair information is available only to the relevant account and people given a valid invitation or secure job link. We also use carefully selected service providers to run PropertySync3, including Microsoft Azure for hosting and Brevo for transactional email. They may only use information to provide their contracted service to us.
We do not sell personal information or use it for third-party advertising.
Where information is processed
We aim to host primary service data in the United Kingdom. Some suppliers may process limited information in the UK, European Economic Area or another country using an appropriate transfer safeguard required by data-protection law.
How long information is kept
Account and live property records are kept while the service is in use. Expired access codes, sessions and operational email records are removed automatically on shorter schedules. Repair and audit records may be retained where they remain necessary for maintenance history, security, disputes or legal obligations.
We review information when an account closes or a valid deletion request is received. Some records may need to be retained or anonymised rather than deleted immediately.
Browser storage and cookies
PropertySync3 uses essential browser storage and security cookies to keep users signed in, protect forms and remember access details on the device. The current service does not use advertising cookies or behavioural advertising trackers. We will ask for an appropriate choice before introducing non-essential analytics or marketing cookies.
Your rights
UK and European data-protection law may give you rights to access, correct, delete, restrict or object to the use of your information, and to receive a portable copy in some circumstances. Contact us using the address above. We may need to confirm your identity and may refer a request concerning landlord-controlled repair information to the relevant landlord or property manager.
You may also complain to the UK Information Commissioner's Office or the relevant supervisory authority where you live.
